Time Cards

GENERAL DISCUSSION

The Time Cards are the core of TimeTrax's operation. They represent the point in the program where you enter the data establishing the hours, length of time, project and cost code that become the basis for every calculation, thus creating the individual records that comprise your database and from which all the reports are generated.


The time cards are automatically on the main screen when you open and operate TimeTrax. Their operation is relatively simple in that you select the employee from the left column, the pa week from the pull down window, and the day of the week from the tabs across the top of the fields. From there you begin entering the hours, project and cost codes, making the distributions as reflected in the employee written time sheet. TimeTrax does the rest by automatically calculating the pay and cost for each line item based upon the many factors such as tax rates, WC rates, benefits, etc. that you've already entered into the program.

TIME CARD DIALOG BOX

The time card dialog box allows you to input a detailed report of each employee's work during the week. You can select which week you want to input (or change) the data for and which employee. You can input up to eight different items of work for each day, which may be on different projects or doing different tasks (specified by cost codes) on the same project. A description of the various types of data you can input or select is given in the table below.

Week Ending At the top of the time card screen, above the actual time card data input box, there is a drop down list of dates titled "Week Ending."

Select the week for which you wish to input time card data. You should do this before you attempt to select or input any other information.

Weeks are designated by there last day, hence the term "Week Ending." The current week is the default week (the one that is selected automatically).

You can click on the down arrow n the right of the box to drop down the list and then scroll through the list with the scroll bar to select any week ranging from next week to one year ago.

Employee There is a list of employees at the left side of the time card screen.

Select the employee for whom you want to input time card information from this list by clicking on the name. You must do this before you can input any information on the time card.

If you have already input time card information for this employee for the selected week (explained above), all information already in the time card will be displayed on the time card form.

Job Title This box shows the current job title of the employee you have selected. This box is filled in automatically, and you cannot input or edit the information in this box.

Pay Type This box shows the payment type (hourly wage or salary) of the employee you have selected. This box is filled in automatically, and you cannot input or edit the information in this box.

Day of Week At the top of the time card data input form, there are tabs that allow you to switch which day of the week you are inputting data for. These allow you to input data for each day the selected employee worked.

Start Time You can input the time the selected employee started work on the current day here.

You can either type a time, or click on the down arrow on the right of the box to drop down a list of common start times that you can select from.

If you type a time, you can abbreviate and TimeTrax will automatically clarify the time as soon as you move to another box. For example, 6 would become 6:00 AM. The number 14 would automatically become 2:00 PM.

Note: It is not necessary to input start, stop, and break times if these are not important to you. You can skip directly to "Total Hours" (explained below) and input the number of hours the employee worked that day.

Stop Time You can input the time the selected employee stopped work on the current day here.

You can either type a time, or click on the down arrow on the right of the box to drop down a list of common stop times that you can select from. If you type a time, you can abbreviate and TimeTrax will automatically clarify the time as soon as you move to another box. See "Start Time" above for details.

When you have input a start and stop time, TimeTrax will automatically calculate the total time and put this value in the "Total Time" box. This time will change automatically if you input a break time (explained below).

Break You can input the length of the break the employee took on this day.

You can type a time (in hours) such as .75 for 45 minutes, or select a common time by clicking on the down arrow and clicking on one of the displayed time periods.

TimeTrax has only one break time box for the day, so if the employee took several breaks, you must manually add up the times and input this time in the box.

Total Hours This box shows the total time the employee worked on this day.

If you input a start, stop, and break time (explained above), TimeTrax automatically calculates the total time. You can type the total time in this box instead.

Bill If this box is checked, the work shown in this line is listed as billable hours in the billable hours reports.

You can toggle this box between checked and unchecked by clicking on it with the mouse.

Project # This box allows you to input the project the employee was working on.

You can either type a project number, or select one from the list by clicking on the down arrow on the right of the box and clicking on the project number.

You must input a list of current projects using the Projects menu option (explained below) before you can select a project.


TimeTrax will not allow you to type or select a project number until you have added it to the list of projects.

The only "project" that exists in the data file before you input the list of projects is "Overhead," which means that the work is company overhead, rather than a specific project.

Note: If you leave the project fields blank, "Overhead" is automatically assigned as the project.

Code This is the cost code assigned to the work described in this line of the time card.

The default cost code for the selected employee automatically appears in this box, but you should change this if it is not correct for the specific task the work was done on.

You can either type a cost code in the box, or select one from the list by clicking on the down arrow on the right of the code box.

The list of cost codes may be a custom list you have input, or one of the standard lists that comes with TimeTrax.

See "Company Settings" for information about selecting the cost code system you want to use, and "Cost Codes" for information about adding, editing, and deleting codes from the list.

Hours There are eight lines for each day on the time card.

Once you have input the total time the employee worked that day, you can break this up among up to eight projects or cost codes. You do this by typing an amount of time in these hours boxes.

The first box is automatically filled in with the total time for the day when the "Total Time" box is filled in.

To distribute the total time among different projects, change the number in the top box to the correct amount of time worked on that project. Then fill in the correct amounts of time for other projects in the other "Hours" boxes.

Note that the bottom "Hours" box automatically adjusts to the difference between the figure in the "Total Time" box and the sum of the "Hours" boxes.

Earnings This is the amount of pay due the employee for the work shown on this line of the time card.

This value is automatically calculated for you by TimeTrax and the box is filled in for you.You cannot enter or change the value manually.

Cost This is the total payroll cost for the time on this line of the time card, including all burden and benefit costs.

The cost is automatically calculated by TimeTrax. You cannot enter or change the value manually.

The WC portion of this cost is calculated using the current default WC method selected under your company settings. The costs are calculated by both WC systems simultaneously, allowing you to switch to either set if costs in any report. This default setting, which determines which of the two set of calculations you can view on the time card, may be changed by you at any time with no effect on the program.

Use Template If you click on this button, TimeTrax will automatically fill in the time card using the data you filled in for the employee's template.

If you have not filled in a template for this employee, this button will not be visible.

If you have left some of the fields blank on this employee's template, you will need to fill these in manually on the time card, or the program will accept the default values.

Save Clicking on this button will save the information on the time card.

If there is no time card information in the record for the selected employee for the selected week, the new information will be added.

If there is already some information on file for this employee for this week, the entire week will be replaced by the information on the displayed time card.

If the displayed time card is blank and you have previously stored a time card for the selected employee for the selected week, TimeTrax will delete that information.

Reset This button clears all the data displayed on the time card for the day of the week currently selected by the tabs at the top of the time card. It does NOT clear the other days of the week.

Exit This button closes the TimeTrax program.
