GENERAL DISCUSSION

Projects are a key element in TimeTrax, allowing you to track your payroll cost by project, department, division, group or any other similar division, and of course, business overhead. The project names numbers are entirely determined by you, and may actually be any combination of numbers and letters as you may need.


 
Projects Dialog Box

PROJECTS DIALOG BOX

The Projects Dialog Box is where you can add, edit or delete Project numbers and names and where you assign the project to one of the five Billable Rate Schedules. The table below describes the controls and input fields for the dialog box.

Data Description
Add, Edit or Delete Mode When you select Add New Project, TimeTrax will clear the dialog box in anticipation of your entering information for a new Project. The left button at the bottom of the dialog box will change to Save.

When you select Edit Existing Project and then select an Project from the left side list, TimeTrax will display that Project's data for your modification. The left button at the bottom of the dialog box will change to Replace.

When you select Delete Existing Project and then select an Project from the left side list, TimeTrax will display that Project's data for your review prior to deletion. The left button at the bottom of the dialog box with change to Delete.

You may switch between the different modes at any time.

Projects list On the left side of the dialog box TimeTrax displays a list of all the projects in your database.

Select a Project from the list and TimeTrax will display the Project's data in the dialog box for your review or modification.

Project Number Review, enter or edit the Project number.

The Project Number may be a number or any combination of numbers and letters. Some examples are:
  • 1045
  • 2000-101
  • East-4065
  • Job87.0a
Project Name Review, enter or edit the Project Name.

We suggest you use a short, two word description that identifies the project without getting too lengthy, as follows:
  • Jones Residence
  • Smith Addition
  • Wispering Pines Lot 34
  • 3542 West Street Offices
Rate Schedule Select or change the Billable Rate Schedule for this project.

The Billable Rate is only used for billing customers for cost-plus project or any project wherein you are to bill for your employees time on the project. Selecting a Billable Rate Schedule does not automatically include the time for that project on any reports, it simply establishes the rate schedule to be used IF any employee's time is specifically indicated as billable on their time sheet.

You are not required to select a billable rate schedule for a project. TimeTrax will use Schedule A as the default schedule in the event you do not make a selection.

TimeTrax provides up to 5 different rate schedules, all customized by you, so you can have different rates for different projects as contractual conditions warrant. In addition, employees hours are not included in a Billable Hours report unless specifically indicated on the employee's time sheet.

Billable Rates When you select a rate schedule for a project, this box will display the current billable rates by Job Title for that Rate Schedule for your review. These rates were supplied by you when you created your list of Job Titles. You cannot add to or edit the Billable Rates from the Projects Dialog Box, the information is displayed to help you select the appropriate schedule for the project.

You may change the actual Billable Rates in the Job Titles Dialog Box.

Add button In the Add New Project mode, selecting this button will add the new Project to your Project List.

Replace button In the Edit an Existing Project mode, selecting this button replace the data for the Project with the data currently displayed in the dialog box.

TimeTrax will automatically go through all the existing time card records and replace the prior code with the new code to maintain consistency.

Delete button In the Edit an Existing Project mode, selecting this button will delete the Project that is currently displayed in the dialog box from your Project List.

The Project is not deleted from the existing records and thus will be displayed in the applicable reports.

Close The Close button will close the Projects Dialog Box.
