Introduction to TimeTrax

General Information

TimeTrax is a software program that analyses employee time sheet information to produce payroll data for a number of reports that are used to distribute payroll labor cost to projects and cost codes, monitor Workers Compensation costs, track employee paid time off, and bill customers for hourly work.


The program uses the employee time sheets and settings you enter for each employee to calculate the true payroll labor costs.  TimeTrax also keeps a database of every time segment worked by an employee, and includes powerful search features that allow you search, sore and filter any report by date, project, employee, cost code or Workers Compensation Classification.


This introduction will provide a quick overview of the program and it's features so you'll know what to expect it to do, and a summary of the various manuals, guides and references that comprise the program manual, so you'll know where to start and where to find additional information.


Installation

You may install TimeTrax by downloading it from our website at www.PowerToolsSoftware.com.  If you've never downloaded a file before, a concise Download Guide is also available on the website.  You may also install TimeTrax from our Installation CD.  With either method, our professional installation program will install the program for you in less than 60 seconds.


Setup

Setting up TimeTrax involves entering your employees and their settings, entering your Workers Compensation Rates, and entering the names of your projects.  All the information may be entered "on the fly", and may be changed at any time.  A concise 5-step Installation & Setup Guide is available on our website.


Basic Procedure

TimeTrax is fast and easy.  Each week, select each employee one at a time, and enter their time sheet information directly on the Timecard Screen.  There are a number of features to help you, including the Employee Templates for employees with stable working hours, pull-down lists to select start, time, stop time, cost codes and project numbers.  TimeTrax calculates the daily hours automatically, and has visual indicators to help track your progress.  When you're done, just review and print the reports that you need from the reports list.


Previewing & Printing

You may preview any report's data and print the report using the on-screen buttons.

Complete Reporting Capabilities, including Time Card Reports, Payroll Cost Reports, Bookkeeping Reports, Workers Compensation Reports, Administration Reports, Billable Hours Reports and List Reports.


W/C Auditing that simultaneously tracks WC cost by both Job Title and Cost Code, allowing you to select whichever method results in the lowest premium for you.


Automatic Hours Checking that automatically calculates the total hours worked from the timesheet start, stop and break times.  Somehow, these mistakes always seem to favor the employee.


Employee Templates that allows you to setup template timesheets for employees with stable hours and/or cost codes.  This makes for speedy entry of weekly hours, and of course you can override the templates as necessary.


Default Date Ranges that automatically open to the most recent full week when entering hours and opening reports.  When you need to select other dates, all you do is select from the pull-down list.


Billable Hours Reports that you can staple right to your invoice, and that include every bit of information about the employee's time to satisfy even the most demanding customer.


Multiple Billable Rates that allow you to set different billable rate schedules for different projects, allowing you to negotiate the best deal you can get with each customer.


Paid Time Off tracking that allows you to track and review each employee's paid vacation, sick, personal and holiday time against what you set for them in the program.


A Print Multiple Reports feature allows you designate several reports to be printed together as a batch each week.


Modify Records Feature that allows you to globally change settings and factors in previous records (like a tax or WC rate you forgot to change 6 months ago), and even produces a Variance Report and a General Ledger report, so all you have to post is the one G/L entry, not try to revise all the past week's postings.


Program Settings that include the ability to select the last day of the Pay Week, the Fiscal Year, the Insurance Year, the default overhead code (when no code is entered), and the default Workers Compensation cost display (by Job Title or by Cost Code).

The Weekly Procedures Guide is a concise, 4 page "mini" manual of the programs features and functions. The Program Strategies manual provides detailed information for using the TimeTrax data, and specifically for entering the payroll costs into your bookkeeping.  The Modify Records chapter provides step-by-step procedures for changing prior settings for prior records and current settings for future records.  The Paid Time Off chapter explains the method by which TimeTrax apportions employee paid time off across the other working hours, and discusses strategies for calculating this cost into your payroll cost calculations.  All manuals have extensive hyperlinks to help you move quickly to the subject of interest.


The Reference section of the Manual includes separate webpages for each of the main menu commands.  Each of the separate pages lists every menu command under that menu, with an explanation of it's purpose, and describes every dialog box and the purpose of every function, control or data entry field on them.


The Reports Summary is a catalog of every report in the program and description of it's purpose.
