Projects Menu Commands

GENERAL DISCUSSION

These are the menu commands under the Projects Menu.


Projects Menu Commands
Menu Description
Existing Project Opens a list of your existing Projects, from which you can then select and open the Projects Dialog Box for a specific Project.

New Project Opens a blank Projects Dialog Box where you can setup a new Project.

Project List Displays a list of your existing projects that you may review and print.

Projects Dialog Box

GENERAL DISCUSSION

The Projects Dialog Box is where you setup and maintain each project, including setting all the main participants to the project, entering the legal description of the property, recording the major milestone dates, keeping notes and reviewing the Document History for the project.


Most of the data entry requirements of the Projects Dialog Box are self-explanatory, however the following chart enumerates and describes each of the requirements for reference.

Tab Data Description
Property User File Number This is where you may enter a file number, project number or other alpha-numeric number you may wish to use for your own reference.

Project Name Please enter a name for this project. This is largely for your own reference. Some examples of possible name formats are:

      Shady Brook Lot 45
      Wilson Residence
      Jones Addition
      4424 Main Street Bldg
      Le Flame Restaurant

Project Address Please enter the street address of the project. If a street number has not yet been assigned, please enter the street name only.

City, State, Zip Same as Project Address.

Owner Please select the Property Owner from the Owner's list.

If the Property Owner is not on the Owners list, please add the name and other information before proceeding.

Owner's Interest Please select the correct description of the Owner's interest from the Owner's Interest list.

If the necessary description is not on the list, please add it to the list before proceeding.

If you are not sure of the correct description to use, please consult with an attorney.

Description of Improvements Please select the correct description of the improvements you are making to the property from the Improvement Descriptions list.

If the necessary description is not on the list, please add it to the list before proceeding.

If you are not sure of the correct description to use, please consult with an attorney.

Title Holder Please select the Title Holder from the Owner list. If the Title Owner is not on the Owners list, please add the name and other information before proceeding. If you are not sure of who the Title Owner is, please consult with an attorney.

Names Contractor Please select the Contractor from the Names list. If the Contractor is not on the list, please add the name and other information before proceeding.

Lender Please select the Lender from the Names list. If the Lender is not on the list, please add the name and other information before proceeding. If there is no Lender for the project, please select "none".

Surety Please select the Surety from the Names list. If the Surety is not on the list, please add the name and other information before proceeding. If there is no Surety or bond for the project, please select "none".

Bond Amount If the project has a bond, please enter the Bond Amount. If there is no Bond on the project, please enter "none" or "no bond".

Designer Please select the Designer / Architect / Engineer from the Names list.

If the Designer is not on the list, please add the name and other information before proceeding.

If there is no Designer for the project, please select "none".

This information is only used for the Building Permit Application, and thus may be ignored if not needed.

Building Dept. Please select the Building Department the Names list. If the Building Department is not on the list, please add the name and other information before proceeding.

Notes Notes This is a memo field to be used for whatever purpose you may require.

Legal Description Tax ID No. Please enter the official Tax ID number for the property. If you do not know the number, please contact the property tax office to obtain the number.

County Please select the County where the Property is located from the Counties list. If the County is not on the list, please add the name and other information before proceeding.

Short Legal Description If the legal description of the property is short enough to fit on these two lines, which should cover approximately 95% of all legal descriptions, them please enter it here.

Legal Descriptions that can fit these on lines will also fit all the documents in Florida BuildingForms.

If the legal description is lengthy, such as a "meets and bounds" description, then you should enter "Please see attached Legal Description" and use the Extended Legal Description field for the actual description.

ExtendedLegal Description If the property's legal description is too long to fit the two lines allotted for the Short Legal Description, such as a "meets and bounds" description, then you will either need to enter it here OR utilize a separate addendum with the description.

The Extended Legal Description is used in an Legal Description Addendum that you may print and attach to any other document as needed.

Notifications and Recordings General Information This section of the Projects window is designed to allow you to enter important recording dates and recording book and page numbers for future reference.

This information is not written directly to any documents, although it is certainly used in many of the documents.

Notice of Commencement Please enter the Recording Date, Book and Page number of the Notice of Commencement.

Notice to Owner Please enter the date you mailed the Notice to Owner, the Date it was received, and the date you received the Return Receipt for the delivery.

Claim of Lien Please enter the Recording Date, Book and Page number of any Claim of Lien, if relevant.

Satisfaction of Lien Please enter the Recording Date, Book and Page number of any Satisfaction of Lien, if relevant.

Document History Florida BuildingForms Manual Opens the Florida BuildingForms Manual manual in your default browser.

Buttons
Save Saves your entries to the database. Any entries or changes you might make in the Projects Dialog Box, they WILL NOT be saved UNTIL you select the SAVE button.

Close


Closes the dialog box without effecting any changes.
